Making an IT Purchase Request

Are you a KSU faculty or staff member looking to purchase new technology hardware or software? Before you make a purchase, it's important to follow university guidelines to ensure a smooth and secure process.

In accordance with USG policy, UITS reviews all new technology hardware and software prior to purchase or rental to ensure it:

  1. Fits within the technology environment at KSU
  2. Does not pose a security risk
  3. Does not duplicate technology already available at the University

Standard Technology

UITS offers a selection of standard computers, tablets, HP printers, cellular devices, and peripherals, such as monitors, keyboards, headsets, or webcams in our Product Catalog.

Non-Standard Technology

Non-standard technology will require a quote from the vendor and review from UITS to ensure the item can be supported by the University, fits within the technology environment at KSU, does not pose a security risk, and does not duplicate technology already available at the University.

Non-standard technology requires:

  • A vendor-provided quote
  • A review by UITS to ensure compatibility and supportability

Examples of non-standard technology includes:

  • Software and subscriptions
  • Web applications
  • 3D printers
  • IT professional services
  • Point-of-sale (POS) devices
  • Hardware not listed in KSU’s standard offerings
  • Other technology-integrated equipment

Next Steps After Receiving a Quote

Already have a quote? Whether you obtained your own quote or requested one through UITS, the next step is the pre-purchase technology review required by the USG. Please follow the steps on the Technology Approval Form.

Next Steps After Receiving Approval

After UITS has reviewed the technology and you have received approval, your department is ready to follow the procurement process to purchase the item. Once technology has undergone pre-purchase review and received approval from UITS, it has been verified to meet USG and KSU standards.

Frequently Asked Questions

  • Per USG policy, UITS is required to conduct a pre-purchase review of and approve all technology not previously approved for purchase or rental at KSU, including all:

    • Technology hardware, including (but not limited to) computers, printers, scanners, displays, headphones, wireless presenters, webcams, audio/visual equipment such as cameras and microphones, and other technology accessories.
    • Software not already provided standard by KSU
  • A request for technology pre-purchase review and approval must be requested after a quote has been received but before placing an order to purchase or rent technology. (See below for more information about technology quotes.)

  • First, you will need a technology quote. Please complete this form: Quote Request Form. Once you have a quote, you should submit a request for UITS to review and approve the technology by completing the Technology Approval Form

Important: Once technology has undergone pre-purchase review and received approval from UITS, it has been verified to meet USG and KSU standards. However, technology approval is not budget approval. Because technology is ordered and paid for by an employee’s department, the employee must ensure they have budget approval from their supervisor and/or budget owner. All purchases must be made in accordance with KSU’s procurement guidelines
