Step by Step Guide for BCOE Faculty Hosting International Scholars
You can find below the different steps and procedures to be followed in order to host the visit of an international scholar:
-
Step 1
In most cases international faculty will request a letter of invitation to conduct a research stay in the BCOE. Even though it would be enough for them to get a signed letter from an individual faculty, we strongly recommend involving department chairs in the process. In this letter of invitation you will have to include the following information:
- Name of the international visiting scholar
- Adress and institution
- Dates of the proposed stay
- Goals of the stay
- Activities that will be conducted
- A description of what the BCOE/Department will offer (i.e. office space, a laptop, etc)
-
Step 2
After knowing the dates of the stay, contact the office of Human Resources. They will be instrumental in getting all the paperwork done in time. You will be asked to share with them the letter of invitation, and they will also ask you to fill out the following forms:
- Registered Visitor Form: This form needs to be completed by your department.
- Background check consent form. The international visitor will have to:
1. Go to: background.hrtrucheck.com
2. Click on Applicant Backgrounds and enter access code: ksu
3. Go to "New Users" and create a user login and password, then click "Register."
4. Enter personal information and sign it.
5. Please indicate under the "Position Applying For" LTV
-
Step 3
After having completed the previous two forms, and having received the background check approval from Human Resources, you will be asked to fill out the Long-term visitor form (LTV). It will be provided by Human Resources with some basic information already filled out. -
Step 4
Once the Long-term visitor form has been approved by KSU, and once the visitor is already on campus, you will have to take him/her to Talon services (Student Center) in order to get her/his ID, and email access. If access to a building/office is needed, it should be requested using the following email <dooraccess@kennesaw.edu> (DACD- Single Door Access Request), right after getting KSU’s ID. -
Step 5
If access to the library is needed, an email should be sent to our Graduate Librarian, Olga Koz <okoz@kennesaw.edu>, so she can make the request to the main library.

Other aspects to be considered when hosting international faculty
Finding housing for someone who will conduct a stay shorter than 12 months will be complicated and time-consuming. Be ready to spend some time helping your visiting scholar find the right place to live. Some options near campus are:
-
- Apartments:
- Homestay:
- On Campus:
- Apartments:
Most apartments don’t have furniture, which is a huge inconvenient for short-term visitors
Transportation and easy access to campus would be key.
