Helping Coordinate KSU Campus Events

The Department of Event and Venue Management team is responsible for coordinating campus events/space for a variety of activities sponsored by academic departments and the Office of the President. Most classrooms, conference rooms, atriums and outdoor spaces can be reserved through the Event Management System. 

KSU faculty and staff can access KSU Reservations with their NetID and password. KSU users can request available space by using the Reservations menu and entering the scheduling information.

IMPORTANT NOTE: The system will not allow Internal Event Request submissions that are less than 10 days before the event date. For large-scale Internal Event Requests, we recommend that they are submitted no less than 30 days before the event date.

Campus Events

A campus event is one that requires any type of setup, special audio or visual needs, parking or food/catering. All Presidential and Cabinet gatherings are considered campus events.

Department of Event and Venue Management and the Department of Student Life assigns appropriate space according to the demands on the venue requested, the nature of the event, and the size of the event, and Space Prioritization & Procedures.

Every effort will be made to acknowledge your request and contact you between 4 - 5 business days. However, due to the high volume of requests that are received daily and/or the complexity of your event request, it may take from 5 - 7 business days for your request to be acknowledged and the process begun.

Off-Campus Events

Events held by or sponsored by the university occur on and off university property. In order to ensure off campus events follow the same approval processes and university standards as on campus events, the Off-Campus Event Registration form was created. All events will be forwarded to the Event Oversight Committee for approval. Please allow 3-4 business days for your event to be approved. Please include approval of your off-campus event when requesting funding or signatures for contracts related to your off-campus event.   
 
The Off-Campus Event Registration Form is located within reservations.kennesaw.edu, the same site for reserving campus space. Simple Meeting

A simple meeting is a reservation that does not require any type of setup, special audio/visual needs, an audio/visual technician, parking, food/catering, or additional support from any other campus entity.

  • The rooms are “as-is" and reserved immediately.
  • The simple meeting option is ONLY for KSU faculty and staff. If non-campus guests are attending, it is not considered a simple meeting and an event form must be submitted.
  • If you need more than one room for the same day, it is no longer considered a simple meeting. You must submit your request using the Internal Event Request Form
  • If you need a space that requires any kind of setup, special audio and/or visual needs, special parking needs or food/catering, it is not considered a simple meeting. You must submit your request using the Internal Event Request Form.
  • If you wish to secure a meeting space for a Registered Student Organization (RSO), you must submit your request using the Internal Event Request Form.

Information Tables

Information tables can only be reserved for KSU Departments or KSU Registered Student Organizations.

  • An information table consists of 1 table and 2 chairs only. No additional items can be added when reserving an information table.
  • The table will be set up 15 minutes prior to the reserved start time.
  • Information tables must be reserved at least 48 hours in advance.
  • Raffles are strictly prohibited at KSU.
  • No amplified sound is permitted at information tables.
    • In order to have amplified sound, please submit a internal event request form.
  • Selling food, tickets or other items is prohibited. If you wish to sell anything at your information table, you are required to submit a Internal Event Request form.

Event Procedures Guidelines

These guidelines establish priorities for the use of academic and non-academic spaces at Kennesaw State University (“The University”). It also protects resources, equipment and the users through the implementation of a consistent campus-wide procedure. The following applies to use of space for activities on all Kennesaw State University campuses except with regard to the assignment of departmental office space.

The purpose of this procedure is to establish a uniform process by which Kennesaw State University manages space and resources. Facility and space utilization is a critical component in the delivery of academic and extracurricular programs and services at Kennesaw State University.
