What is the difference between a Space/Planning Project Request and an AIM Request?
A project and space request is used for any work that requires the change and upgrade of existing space. Examples include adding a wall to divide a conference room, building a new building, or a comprehensive finish and furniture overhaul of a space.
An AIM Request is used for reporting general maintenance and repair issues involving HVAC, plumbing, lights, leaks, spills and electrical. AIM requests are also used for surplus and moving furniture within a campus. Building Services and Grounds requests are for keeping the buildings and grounds clean and attractive. -
I need to have a wall added in an office. How do I request this?

What information is needed for a Space/Planning Project Request?
The online form is simple to complete with several multiple-choice options. The form allows for text entry for explaining request details and allows for documents to be uploaded to further develop the request. Information concerning any of the following is useful for Planning Design and Constructions during the initial space/planning/project request review:
- Current use of space in question
- Assigned occupant of space in question
- Proposed use of space in question
- Number of faculty and staff the space will need to accommodate
- Number of students the space will need to accommodate (for classroom, lab, or study space)
- Requested physical changes to space
- Potential mechanical or infrastructure changes needed to space
- Source of funds for potential renovations
- Available budget
- Other departments you're working with (e.g., UITS, Door Access, Office of Strategic Communications and Marketing, etc.)
- Any schedule constraints or targets

I need additional offices. How can I request more?
If you have no offices available in your current inventory, please submit a space/planning project request form. If you have suggestions of where the offices could be, please note that information on the form.

I need additional classrooms. How can I request more?
Facilities does not allocate classroom space. If you want to modify existing classroom space, please submit a space/planning project request form. Any major modifications to classroom space will need approval by the Space and Project Working Group, the Executive Space Planning Group and the President.

Can I get my project encumbered before fiscal year end?
Every project is unique. At the start of your project, the assigned project manager will sit with you to develop a project scope summary that will include a target schedule and budget. This will capture the dependencies and factors that determine the length of the project include design time, procurement, and long lead materials.
Small projects submitted before November 15th of the same fiscal year are more likely to be encumbered during the same fiscal year. Furniture Requests submitted before March 15th of the same fiscal year are more likely to be encumbered during the same fiscal year. However, every project is different and may require longer approval durations, design time, or procurement. Please discuss any schedule constrains upfront with your project manager and be sure to include this information in your project request. -
I do not know if department funds will fund a project. Are there estimated costs for reference?
Because projects require varying levels of infrastructure and other modifications, there is no “rule of thumb”. However, please note your available budget when requesting a project and your project manager can guide you through that evaluation early in the process to ensure that your available budget aligns with any project that moves forward.
